Office Manager

Job Description

Thompson Thrift is seeking a Full-Time Office Manager to work out of our office located in Phoenix, AZ. As the Office Manager, you will be responsible for performing/organizing all of the administrative activities that facilitate the efficient operation of the office. In addition, you will provide support for Executives located within the assigned office.

We are looking for an energetic, eager to grow and motivated individual to support our team members with the day-to-day operations for the office.

Duties and Responsibilities

  • Be the first impression for customers and clients when they visit the office.
  • Manage the reception area to ensure effective telephone communications both internally and externally to maintain a professional image.
  • Maintain and manage the budget for the operation of the office.
  • Provide clerical and administrative support for all office staff when required.
  • Coordinate the maintenance of office equipment including copier, fax machine, etc.
  • Provide assistance with social media postings and press releases that involve the assigned office region.
  • Manage all mail activities – Receiving, sorting, distributing and processing outgoing mail.
  • Establish and monitor procedures for record keeping and ensure confidentiality of data is maintained.
  • Ensure filing systems are maintained and current.
  • Coordinate schedules, appointments and bookings.
  • Assist with the planning of team building events, ground breakings and grand openings.
  • Manage travel arrangements for office and field personnel when required.
  • Ordering and maintaining office supplies.
  • Maintain a safe and secure working environment.
  • Other duties as assigned.

Qualifications

  • Experience in creating aerials and other marketing materials (preferred).
  • Previous executive support experience (preferred).
  • Computer skills, including proficiency with Microsoft Office software systems (Word, Excel, Power Point, Outlook).
  • Outstanding customer service ability.
  • Demonstrated ability to manage multiple concurrent projects while continuing to meet project deadlines.

Education/ Experience

  • High school diploma or GED equivalent (required).
  • 4-year degree preferred unless previous applicable experience.

The employee occasionally performs work on-site at construction work sites, office locations, and/or off-site venues. Performing this job will sometimes require the employee to walk work sites that do not have infrastructure, this includes walking on uneven surfaces, through mud, through ruts, etc. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.

While performing duties of this job, the employee regularly works in an office or remote setting. The noise in the work environment is usually quiet to moderate in an office setting. While performing the duties of this job, the employee may occasionally work at construction work sites where the employee is exposed to moving mechanical parts, high precarious places, fumes or airborne particles, outside weather conditions, and the risk of electrical shock. The noise in the construction work environment is usually moderate to loud. The employee is required to work in compliance with company safety policies, procedures, and applicable laws.
