Job Description

Thompson Thrift is seeking a Full-Time Administrative Assistant for our corporate office located in Indianapolis, IN, to support the Director of Investor Relations and Director of Capital Markets. 

Responsibilities

  • Provide clerical, administrative, and secretarial support for all Capital Markets and Investor Relations team members
  • Assist in investor report preparation and creation
  • Generate various reports in excel and Yardi investor management software
  • Data Entry in Yardi investor management software.
  • Take meeting minutes, type and distribute to the appropriate personnel.
  • Establish and monitor procedures for record keeping and ensure confidentiality of data is maintained.
  • Ensure filing systems are maintained and current.
  • Coordinate schedules, appointments and bookings.
  • Investor Event Coordination and management
  • Manage travel arrangements for the various team members when required.
  • Assist the Tax Director with uploading all tax returns and filings onto SharePoint and distributing all Sch. K-1s to investors including uploading to Investor Portal, mailing or securely emailing K-1s as well as maintaining and updating Sch. K-1 tracker throughout the tax season.
  • Assist the Tax Director with tracking and sending reminders on tax filing deadlines for various filings.
  • Other duties as assigned.

Qualifications

  • Minimum of 1 years' experience of administrative duties required. 
  • 2-4 year degree preferred.
  • Excellent verbal and written communication skills; must be proficient in proofreading.
  • Individual needs to be well organized, have the ability to learn quickly and handle multiple tasks and assignments.
