Administrative Assistant

Job Description

Thompson Thrift is seeking to hire a Full-Time Administrative Assistant to work out of the corporate office in Indianapolis, IN. As the Administrative Assistant, you will support the Owner's Representative team. As the Administrative Assistant, you will be responsible for handling office tasks such as filing, generating reports and presentations, setting up for meetings, and reordering supplies, as well as providing real-time scheduling support by booking appointments and preventing conflicts.

Duties and Responsibilities

  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
  • Screening phone calls and routing callers to the appropriate party.
  • Using computers to generate reports, taking notes and transcribing minutes from meetings, create presentations, etc.
  • Maintain polite and professional communication via phone, e-mail, and mail.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
  • Ensure filing systems are maintained and current. 
  • Coordinate schedules, appointments and bookings.
  • Assist in report preparation. 
  • Log, track and prepare information for reporting. 
  • Upload and file photos. 
  • Take meeting minutes, type and distribute to the appropriate personnel. 

 Qualifications

  • Associates or Bachelors Degree strongly preferred.
  • Minimum of 5 years' experience in Administrative role.
  • Computer skills, including proficiency with Microsoft Office software systems (Word, Excel, Power Point, Outlook) and SharePoint.
  • Demonstrated ability to manage multiple concurrent tasks while continuing to meet deadlines. 
  • Ability to work under pressure. 
  • Exceptional problem-solving, analytical, organizational and time management skills. 
  • Excellent verbal and written communication skills. 
  • Strong work ethic displaying consistent dependability, reliability and initiative.
